THE DELEGATE EXPERIENCE

The first stage in any DelegateManager project involves sending an autotomated customised email invite to each of the delegates you wish to invite. The system allows for the sending of rich, personalised email event invitations. The invitation, which contains a unique password, provides a link through to the event micro-site where delegates can find conference news, information & an event agenda as well as travel information provided by seamless GoogleMap integration, allowing for powerful route-planning.

Once logged into the system, the registration process is remarkably user-friendly and usually involves a single stage drop-down-box-driven form to collect each delegate’s event details including: attendance status; dietary requirements; transport requirements; accommodation requirements as well as any other elements that might be appropriate to the event. The system also allows for the storage and collection of personal information which is useful for pre-event communication, name-badges, table-plans, etc.

After quickly going through the registration process, each delegate is taken to a customised event status page that allows them to see at-a-glance which options they have chosen. This process is also followed up with an automatic email from the system confirming the delegates’ event status as well as providing confirmation of any dietary, transport or accommodation requirements that the delegate entered.

Event Registration Period
During the event registration period, all communications to the delegates can be handled automatically by DelegateManager as it is capable of sending pre-arranged emails to groups of delegates, sampled directly from the live event database. These emails are fully functioned and can contain pdf attachments, graphics and messages personalised to delegates' registration choices.

Interactive Feedback Platform
The system not only provides support for the event management team but also provides an important interactive feedback platform for the delegate, improving their event experience and providing them with vital involvement. Hosted on a robust, ultra-secure, independent web platform, DelegateManager™ can be accessed 24/7 from any web enabled device, PDA, mobile phone, laptop, Windows or Mac.

This allows the event management team to gather important event information, update delegate details and provide real-time feedback to delegates.

In addition to the bespoke main page site for delegates, a secure password protected Admin site is created for the organising team’s use on each event. This enables instant access for the client to the data and to check who and how many delegates have registered, any requirements they may have or any other event related detail. It also provides the ability for organisers to register delegates who prefer to make contact by telephone.

Excel spreadsheets may be created at this point, and detailed searches, such as accommodation requirements, may be performed at the touch of a button. This enables instant rooming list creation to send to hotels or collate specific dietary requirements to send to a caterer.

DelegateManager™ Support
Besides offering the web front-end, the DelegateManager™ package also provides, at no extra cost, continuous telephone/email consultation and support from 20/20 Productions highly experienced and skilled event managers. Furthermore, their event managers are always on-hand to provide assistance in all aspects of the system as well as the organisation and logistics of events.

Customisation of DelegateManager™
In addition to the basic registration package, each DelegateManager™ system can be customised with a range of pre-built services. These range from export to excel functionality, table planning and presenter tools such as presentation upload, (for centralised powerpoint management) to in-depth statistics with 3D graphs and event ticketing with PayPal integration for industry standard secure transactions.

Secure Communication
In order to protect the security of all information during transmission, Secure Sockets Layer (SSL) encryption is used where requested, which encrypts messages sent between the user and the system.
